About the HAPS 2025 Virtual Conference Posters

We are excited you are considering presenting a poster at the 2025 HAPS Virtual Conference! Posters are an excellent way to share your (or your students’) research with the HAPS community.

Our posters will be hosted by a website called Virtual Poster Session. For fun, go ahead and check out a couple posters from our 2023 Virtual Conference. You can learn more about how to create your own poster by reading Tips for Creating and Uploading a Poster. (Please note: You will not receive an invitation to upload your poster until your proposal has been accepted.)

Conference attendees will be invited to browse through the posters anytime during the conference (beginning on Sunday 10/5/25). We encourage attendees to then participate in the virtual poster session at 4pm ET on Tuesday 10/14/25. At this time, every poster presenter will have an active video chat link to a platform like Zoom (you will provide this link) and attendees will be able to drop into a video chat with the poster presenters they are most interested in speaking with! It is a really dynamic and interactive way of facilitating a virtual conference poster experience.

Poster Presenter Timeline

All poster applications are due by: August 1, 2025

All applicants will hear from us by: August 16, 2025, at the latest. (At this time, we will also send you an invitation to upload your poster to the Virtual Poster Session website.)

Presenters will upload their posters to the Virtual Poster Session website by: Wednesday 10/1/25

Note: Your email will be live so folks can send you questions

Presenters will participate in a dress rehearsal to check video chat links by: Friday 10/3/25

All posters will be live by: Sunday 10/5/25

The interactive poster session will take place on: Tuesday 10/14/25 at 4 pm ET.
